Exhibitors Rules

1.1 Application for exhibition

Exhibitors must fill in the exhibition contract when applying to reserve a booth. The application should be signed and sealed by the exhibitor in person. When the party applying to participate in the exhibition is a company or other legal entity, its legal form should be indicated. The booth reservation application should be signed by the legal representative of the above-mentioned entity or its authorized principal. Under any circumstances, the organizer is not obliged to verify the identity and authority of the signatory, nor is it responsible for any losses caused by the signatory exceeding his authority.

1.2 Exhibitor obligations

Signing the exhibition contract indicates that the exhibitor is obliged to occupy the allocated booth or venue and maintain the layout and operation of the booth until the end of the exhibition. Exhibitors are prohibited from closing their stalls or removing exhibits before the end of the exhibition. Exhibitors must comply with the special regulations in the exhibitor's manual and other laws or provisions that may be required by relevant departments or the organizer. If these regulations or special regulations are violated, the organizer may immediately, temporarily or permanently cancel the exhibition qualification without compensation or refund of the money paid. The organizer does not bear any responsibility for the consequences caused by exhibitors' violation of these regulations, special regulations and laws and regulations.

1.3 Booth allocation

The organizer sets the layout of the exhibition and allocates booths by itself, while taking into account the wishes of the exhibitors as much as possible. The organizer may adjust the area and layout of the exhibition area at the request of the exhibitor, and declare that the exhibitor shall not terminate its participation as a result.

1.4 Approval and rejection of exhibition application

The organizer receives and records the exhibition contract for review and approval. The organizer has the right to decide to approve or reject at any time and has no obligation to explain this decision. Rejected exhibitors may not excuse themselves by claiming that they have participated in previous exhibitions or events, or that their participation was at the invitation of the organizer. Exhibitors also have no right to appeal by using correspondence between themselves and the organizer and corresponding service receipts as proof of approval to participate in the exhibition. If an exhibitor goes bankrupt and liquidates after signing the exhibition contract, it will be deemed that the exhibitor has voluntarily given up participating in the exhibition. However, if the formal receiver of the company's bankruptcy reorganization confirms this application and the date of the exhibition and the date of verification of the company's exhibition qualification and business maintenance are within the legal receivership period of the receiver, the organizer can retain its exhibition qualification.

1.5 Flyers / Loudspeakers / Hawking

Exhibitors can only distribute flyers inside the booth or venue. Exhibitors are strictly prohibited from hawking or promoting products loudly, through loudspeakers, or in any other way. The organizer's broadcasts and loudspeakers only provide convenient services for exhibitors and visitors, and broadcasting of advertisements or personal statements unrelated to the exhibition is prohibited.

1.6 Eligible exhibits

Exhibitors can only display the information, products or services listed in the exhibition contract and approved by the organizer and consistent with the name of the exhibition at the designated venue. Violators will be disqualified from participating in the exhibition. Exhibitors are not allowed to promote non-participating companies in any form.

1.7 Prohibited exhibits

It is prohibited to exhibit explosive materials or products, dangerous goods or harmful substances. Exhibitors who have brought such items into their booths must evacuate them immediately upon receiving the first notice. If they do not evacuate in time, the organizer will evacuate them on their behalf. Any dangers caused by such removal will also be borne by the exhibitors. Responsible for this, the organizer may initiate legal proceedings against the exhibitor. Exhibits that install or operate items and devices that may in some way jeopardize other exhibitors or the exhibition organizer must obtain the special consent of the organizer.

1.8 No resale of booths

The booths or venues allocated by the organizer shall be used by designated exhibitors. The organizer prohibits exhibitors from transferring all or part of the booths or venues. In case of violation, the organizer has the right to dismantle, close or suspend the transferred booth or venue for continued display.

1.9 Photography & Photographers

Photographers can take photos at the exhibition after obtaining written authorization from the organizer. Publication samples of all photographs should be submitted to the organizer within fifteen days of the end of the show. The organizer may revoke written authorization at any time. The organizer may prohibit spectators from taking photos. At the request of the exhibitor, photography of certain items on the booth may be prohibited. During the exhibition, the organizer has the right to take photos of exhibits or staff of participating units and use these photos without paying any royalties. This right is not limited by time and geography, and it has the right to use it for the promotion of all exhibitions. In introduction materials (such as websites, brochures, invitations, printed matter, etc.), regardless of the media format (electronic or paper) or promotional method used. Exhibitors can take photos in their own booths.

1.10 Booth modification and damage

When exhibitors leave the booth, they should keep the booth as it is. If an exhibitor causes damage to the occupied equipment, buildings, or ground during installation, the exhibitor shall be responsible for the damage and bear the repair costs.

1.11 Enter the exhibition hall

Exhibitors can enter the exhibition hall with their exhibition badges, and visitors can visit within the dates and times specified by the organizer. The organizer reserves the right to refuse entry to the exhibition hall to anyone who does not meet the organizer's requirements.

1.12 Payment

Exhibitors must pay the fee after signing the exhibition contract. The balance of the exhibition fee must be paid by wire transfer, check or other methods specified in the exhibition contract by the date specified in the exhibition contract. If an exhibitor fails to pay as per the agreed date, the organizer may revoke the exhibitor's application without permission from the exhibitor. The organizer may freely dispose of the space reserved for the exhibitor and exercise other rights.

1.13 Cancel booth

Even if the exhibitor withdraws from the exhibition for any reason or does not use the booth, the booth rental fee and ancillary fees must be paid in full. If an exhibitor has not occupied its booth by 3 p.m. the day before the exhibition, the organizer may allocate it to other exhibitors at its discretion, unless the organizer agrees in advance, and the absent exhibitor is not entitled to any refund.

1.14 Exhibition schedule and force majeure

The organizer reserves the right to change the venue, start date, and duration of the exhibition and decide to extend, postpone or end the exhibition early. Exhibitors have no right to claim compensation for any reason. The organizer has the right to adjust the exhibition matters based on actual circumstances (such as force majeure, official and venue requirements, insufficient number of exhibitors, etc.). The organizer will not compensate exhibitors for expenses incurred due to their trust in the operation of the exhibition. If the exhibition is changed or canceled due to force majeure or reasons beyond the control of the organizer, the organizer has the right to adjust the time and location of the exhibition according to the situation and will not be liable for breach of contract. Since the organizer has invested a lot of manpower, material and financial resources in preparatory activities such as paying venue fees and external publicity, if the exhibitor requests to cancel the exhibition contract due to force majeure or other reasons and does not participate in the adjusted exhibition, the amount paid by the exhibitor will not be be refunded.

1.15 Booth decoration

Only companies approved by the organizer are allowed to operate and provide equipment at the exhibition. Installation work must comply with safety regulations. Booth interior decoration companies are not qualified to handle or implement electrical installation for exhibitors.

1.16 Distribution of water, electricity and energy

Since the organizer relies on authorized third-party companies to distribute water, electricity, gas and other materials and energy, the organizer is not responsible for any interruption in distribution at any time.

1.17 On-site sales

After the exhibitor pays the fee, the organizer will provide the exhibitor with an online display of the same value as the exhibition fee in the exhibitor dynamic column of the official website of the exhibition. The online display materials are provided by the exhibitor, and the organizer is responsible for editing and publishing. If an exhibitor requests to withdraw from the exhibition before the offline exhibition is held, the fee for participating in the online exhibition must be paid.

1.18 Visitor permit

In order to maintain the purpose of the exhibition, the organizer shall set the conditions for visitors to enter and reserve the right to refuse admission.

1.19 Dismantling the exhibition

All exhibitors should withdraw their samples, devices and equipment after the exhibition. The organizer assumes no responsibility for items and materials remaining on site after the above period. For exhibitors that fail to withdraw within the time limit, the organizer will clean the booth on a routine basis, and the exhibitor must bear the resulting losses and risks.

1.20 Security measures

1.20.1 The organizer will take necessary safety measures based on the interests of the exhibition, but the organizer is not responsible for the loss or damage of exhibits or other property during the exhibition. If exhibitors have valuable items that need to be stored overnight, they should insure themselves or hire security services. All costs will be borne by the exhibitors. 1.20.2 During the exhibition, no exhibits may be taken out of the venue unless there are special circumstances. Exhibitors must present their exit slip issued by the organizer to the security personnel before officially leaving the venue. They can leave with their exhibits only after inspection.

1.20.3 To ensure the safety of exhibits, when the exhibition is closed every day, personnel at each booth must wait until security personnel have cleared the booth before leaving.

1.20.4 Exhibitors guarantee that they, other members of the company (unit), or agents will not violate laws and regulations, and will not harm the interests of third parties. Exhibitors and their exhibitors are required to comply with the provisions regarding the prevention and control of fires and panic in buildings located in public areas, as well as any other laws and regulations in force during the exhibition. Booths that do not meet statutory safety requirements will not be allowed to open.

1.20.5 Exhibitors must ensure that the property in the exhibition hall is not damaged during the move-in and exhibition period. If the exhibition space or exhibition hall property is damaged, the exhibitor must compensate the organizer and the exhibition hall.

1.21 Exhibition order

In view of the individual nature of the agreement between the exhibitor and the organizer, the exhibitor should show a willingness to safeguard the common interests of the exhibition, especially when it comes to visitors and other exhibitors. For this reason, when exhibitors have lawsuits or disputes with the organizer or other exhibitors, they should promise not to do anything that will undermine the orderly progress of the exhibition. Any events that may bring the show into disrepute or disparage its image are specifically prohibited. In addition, if the behavior of an exhibitor may hinder the orderly progress of the exhibition or violate the basic or specific terms applicable to the exhibition, the organizer has the right to immediately cancel the exhibition qualification of the exhibitor.

1.22 Applicable law

The laws applicable to this exhibition are Chinese laws. This exhibition is governed by applicable laws in terms of venue security, freedom of competition, and fair and transparent business relationships open to the public.

1.23 Counterfeit exhibits

In the event of legal proceedings regarding counterfeit and shoddy products among the exhibited products, Shanghai Hexin Exhibition Service Co., Ltd. shall not be sued regardless of the product type. Exhibitors promise to take all necessary measures in accordance with national and international laws to ensure compliance with laws related to intellectual property rights.
